Privacy Policy – Updated 1st September 2024
Data & Storage
H2O Events Enterprise (H2O) will hold details of swimmers which are provided by the parent/guardian upon sign up, this will include contact details, medical information and also include progress notes and certificates achieved. To ensure that H2O maintains the correct data, please inform the office at the earliest convenience if any information changes and we will direct you on how to update your details. Data privacy has never been more important, in light of the General Data Protection Regulations (GDPR), any information provided to H2O will only be used to contact yourself in regard to your child’s swimming lesson.
Venues
H2O run lessons at the following venues:
Bablake Sports Centre, Coundon Road, Coventry, CV1 4AU (free parking on site)
West Coventry Academy, Tile Hill Lane, Tile Hill, Coventry, CV4 9PW (free parking on site)
General Rules
- We know that it is always lovely to watch the little ones swim, however we do have limited seating/space on the poolside, therefore we kindly ask that you limit the number of spectators attending the lessons.
- We ask that swimmers do not arrive any more than 10 minutes before their allocated lesson time.
- Footwear: Please remove your footwear in the changing rooms & leave under the benches. Please ensure you do not put them back on until you are ready to leave the facility after your little ones lesson. This is to ensure that no dirt/germs are bought onto poolside which the swimmers will walk through & take into the pool with them. You are welcome to purchase our reusable shoe covers from reception, alternatively you can wear flip flops or sliders on poolside as long as they have not been worn outside, bare foot is also acceptable. We will no longer be providing blue shoe covers.
- Belongings: All belongings can be hung up on the hooks provided in the changing rooms. Please do not leave them on the benches as we will be cleaning the benches between uses. We do have lockers available in the changing rooms which require £1 coin or a token.
- Once the children are on poolside, their teacher will put on their floats should they require them, this is to ensure the swimmer’s all wear the correct aids, but also ensures that the staff have the correct aids for their lessons. Please do not put on the belts yourself (unless they persoannly belong to you) & do not take any of the equipment from the teachers stations.
- There are showers provided on poolside and 2 in each changing room.
Booking Policy
In the event where a substitute teacher would be needed for your child’s swimming lessons to take place, H2O will supplement that class with one of our additional qualified H2O swimming teachers. If for any reason, your child’s swimming teacher cannot make or continue your child’s swimming lessons due to sickness, compassionate leave, holiday or contract termination, H2O will endeavor to replace the subsequent teacher with another qualified staff member and will notify you as soon as possible to inform you of such changes.
Payments
Payments are taken on a monthly basis on the 1st of each month as follows:
Groups & Privates:
We cover 46 weeks of swimming lessons per year as outlined in our calendar which you can find on our website (www.h2oss.co.uk) & WhatsApp Group.
Groups - £40.25 per month (£10.50 per lesson)
1:1 – £20.00 per lesson - £76.60 per month
1:1 Bi-Weekly - £20.00 per lesson - £38.30 per month (23 Lessons Per Year)
1:2 – £30.00 per lesson - £115.00 per month (£57.50 per child)
1:3 – £13.50 per lesson - £155.25 per month (£51.75 per child)
Both group & private lesson payments include all certificates your child is awarded with by H2O (STA certificates are an additional £2 per certificate, see below). New swimmer’s will start at the beginning of the month in line with the payment dates.
A late payment fee of 10% will be in place for any payments not made on time. You will have an email/text notification if your payment has not been made, allowing you the option to login and use a different card, if payment is not made your child’s space will not be secure on the course. On time payments are greatly appreciated to ensure that swimmers' places are secured. Any late payment fees will be added on your account and will be taken with the following month’s payment.
Certificates
When attending your child’s first lesson, they will receive a ‘I attended my first lesson’ certificate & their progress booklet, this will show their journey with ourselves.
H2O Certificates are included within your payment plan.
STA Certificates are an additional £2 fee, these are awarded 4 times per year and payments will come out along with your monthly fee on: 1st January, 1st April, 1st July & 1st October.
Recording Progress
All of the children work alongside our very own H2O Award Programme. Each week the teachers will be assessing the children based on each section of the criteria for their level. Once the children have completed their current level, they will be awarded with a certificate & our admin team will be in contact to move them up to the next level. All new swimmers will have their own H2O Passport ensuring you will be kept up to date with their progress. H2O Lesson Cancellation
Any lessons which are cancelled due to circumstances out of our hands such as sickness, maintenance, pool issues etc, you will be offered a catch-up lesson which you can take within 6 months of the cancelled lesson. We will contact you via the email address & contact number provided by yourselves on our booking system notifying you of any cancellations which do take place and will liaise with you regarding a catch up lesson, please ensure your contact information is up to date at all times. We will also put a social media post online & send a WhatsApp message to confirm closure. We do not offer refunds for cancelled lessons.
Written Cancellation
H2O swimmers take lessons until written cancellation is received via email to the office. Lesson slots are kept the same unless yourselves or H2O change or cancel the lesson.
To cancel, please send an email notification to admin@h2oss.co.uk 1 calendar month prior to the current month's end date. For example, if you send us a cancellation email on 10th January, you will be required to make 1 final payment on 1st February, meaning your swimmers last lesson will be 28th February. Please note, we cannot pause or hold swimmer’s accounts, therefore if you wish to take a break, we would need a calendar month’s notice to cancel the swimmer’s lessons, once you are ready to return please email us to discuss availability.

Observation & Trial
We want to ensure that the programme is right for our swimmers, therefore where applicable we advise new customers to observe or trial a lesson prior to booking. Our trial lessons are a one off payment of £10.00 (groups) & £20.00 (privates) which will be made via bank transfer prior to the trial lesson date to secure the slot. Once committed to the H2O programme, we commit to our swimmers and we will do everything we can to help our swimmers progress through our programme. It takes time to build trust, please allow us time to establish a relationship and create the comfort needed to build a happy and comfortable swimmer.
Catch-Up Policy
H2O is focused on providing the best swim lesson experience for every swimmer. Each swimmer’s lesson time is held exclusively each week. Payments are made to secure the swimmers lesson, not their attendance. Consistency is key to our programme. However, H2O recognise that changes in circumstances can occur, therefore we have created a catch-up policy that has been designed to be both user friendly and fair for the rare occasions when circumstances change.
H2O Private Lesson Cancellation/Catch-Up Policy: In line with our policy, we ask for 24 hours notice to cancel a session, before we would have added this to the end of your block booking. However with the monthly payments you are entitled to 4 catch up sessions per year (no questions asked). Catch up sessions can be taken within the calendar year, any missed sessions in December can be rolled over to January. (We really appreciate any missed sessions that you know of in advance due to holidays or events are made aware to us in advance). If you cancel/miss a session with no notice or less than 24 hours notice, you will still be charged for that session. Our new system works as a payment to secure you space.
Lateness
Our H2O instructors work on a back to back schedule, therefore will not be permitted to run over should the swimmer be late for their lesson.
Videos & Photography
H2O staff may record and take photos during the swimmer’s lessons to help show them their progress, these images may also be used for marketing purposes. We require all parent/guardian to complete the video/photography section on the registration form. No videos/photography should be used other than the H2O staff. Should H2O wish to use a picture/video of our swimmers for marketing, we would contact you prior and ask for written consent. Photos/Videos should not be taken by anyone other than the H2O staff. If we see anyone taking a photo/video who are not permitted to do so, further action will be taken. If you would like a photo/video of your swimmer, please speak to the H2O office & we can arrange this outside of the lesson.
